How to Grant Access to a Google Calendar

Overview  

This KB article will show how to grant another user access to your Google calendar, it will show how to allow the user to edit events on the calendar or how to allow them view only access.

 

 
Solution

1. Open the Calendar you would like to share access to. 

2. Locate My Calendars on the left hand side of the screen. You may need to click the little arrow next to it in order for it to show the calendars you have access to.

3. Put your cursor over the calendar you would like to share, in this example I would like to share Ares Bourque's calendar. Once your cursor is hovering over the calendar you should see 3 dots, click on the 3 dots.

4. Select the option that says settings and sharing. Once selected you should see a new screen open up that looks like the screenshot below.

5. Scroll down until you see Share With Specific People and then click on the button that says + Add People. Click on this button to add users to your calendar. 

6. Type in the name or email address of the user you would like to add, you may add as many users as you would like. You can also change the amount of access the users will have to the calendar. The default option is see all event details, this will allow the user to view events on your calendar but not to edit them or create new ones. If you would like to allow a user to edit and create events on the calendar click the permissions drop down and select make changes to events. There are 2 other options on the permissions menu, there is see only free/busy which will hide all of the event details from the user and will only show that there is an event and the time of the event. Make changes and manage sharing will allow users to see all of the events on the calendar and allow them to add other users to the calendar, this can be dangerous if you do not want users to add other individuals to the calendar. 

7. Once you have chosen the level of permission and the users to grant this access to you can click send to send an invite to the accounts you wish to grant access. They will receive an email with an invitation they need to accept to see the calendar. Once they have accepted they will be able to see the calendar you have granted them access to.
